Acceptable Use Policy
How to use the platform responsibly, professionally, and in a way that puts client wellbeing first.
Effective September 2, 2026 · Last updated September 2, 2026
1. Scope
This Acceptable Use Policy (also referred to as our User Guidelines) applies to everyone who uses Coach Manuals and forms part of our Terms of Service. Breaching it is a breach of those Terms.
It exists for one reason: the material produced here reaches real people who act on it. Use the platform in a way that keeps them safe.
2. Professional Standards
When you use the Service you agree to:
- work only within the scope of your qualifications, certifications, licence and local law;
- screen clients appropriately and obtain medical clearance where it is indicated;
- review and adapt every generated programme before delivering it to a person;
- obtain informed consent from clients and keep your own records lawfully;
- obtain permission before entering another person data into the platform; and
- refer to a licensed healthcare provider whenever a matter falls outside your scope.
Represent your credentials honestly, both on the platform and in the material you distribute.
3. Prohibited Content
You must not use the Service to create, upload, store, generate or distribute content that:
- is unlawful, defamatory, harassing, hateful, or discriminatory on the basis of a protected characteristic;
- promotes disordered eating, extreme caloric restriction, purging, unsafe rapid weight loss, or body shaming;
- recommends anabolic steroids, prohibited performance-enhancing substances, prescription medication, or any unlawful or unapproved substance;
- presents itself as medical diagnosis, treatment, cure or prevention of any disease or condition;
- targets children, or vulnerable groups, without the professional oversight and consent the law requires;
- infringes any copyright, trade mark, trade secret, publicity or privacy right;
- contains sexual content, violence, or material harmful to minors;
- is fraudulent, deceptive, or makes health, income or results claims that cannot be substantiated; or
- contains malware, or is designed to disrupt or damage any system.
4. Prohibited Conduct
You must not:
- share, sell or transfer your account credentials, or let others use your account;
- operate multiple accounts to obtain additional free credits or to evade a suspension;
- resell, sublicense or provide the Service to third parties as a service bureau, or operate a competing product from it;
- scrape, crawl, harvest or bulk-export data by automated means;
- reverse engineer, decompile or attempt to derive source code, models or prompts, except where that restriction is unenforceable by law;
- probe, scan or test the vulnerability of the Service other than under our Security and Responsible Disclosure policy;
- circumvent rate limits, credit limits, authentication, access controls, or any technical protection;
- interfere with the Service or place unreasonable load on our infrastructure;
- impersonate any person or misrepresent your affiliation; or
- use the Service to violate any law, sanction or export control.
5. Responsible Use of the AI Features
The AI features are assistive tools. When you use them you must not:
- attempt to bypass safety instructions, or prompt the model to produce content this policy prohibits;
- submit client data you have no lawful basis to process, or any protected health information subject to HIPAA;
- present generated output as reviewed, approved or endorsed by us or by any medical authority;
- remove or obscure safety notices or disclaimers we include in generated material; or
- deliver generated output to a client without reviewing it first.
Generated content may be inaccurate. The professional judgement applied to it is yours, and so is the responsibility for it. See our Disclaimer.
6. Client Data and Privacy
Enter only the client information necessary for the material you are producing, and prefer first names or initials where full identity is not needed.
Keep share and check-in links confidential and revoke them when they are no longer needed. Anyone holding a link can open the material it points to.
Your obligations when handling client information are set out in our Privacy Policy and Data Processing Addendum.
7. Reselling Generated Material
Where your plan permits it, you may sell or distribute material you generate, provided you have reviewed it, it complies with this policy, and any claim you make about it is truthful and substantiated.
You are the publisher of anything you distribute. Consumer-protection, advertising and professional-practice rules apply to you, not to us.
8. Reporting a Violation
To report content or conduct that breaches this policy, email contact@coachmanuals.com with a description, links or screenshots, and the account involved if known.
To report a copyright infringement, follow our Copyright and DMCA Policy. To report a security vulnerability, follow our Security and Responsible Disclosure policy.
9. Enforcement
We investigate reported and detected violations and may take any action we consider appropriate, including:
- issuing a warning and requiring corrective action;
- removing or disabling access to content;
- restricting features, revoking share links, or limiting credits;
- suspending or terminating the account, with or without notice;
- refusing a refund of amounts already paid, as set out in the Refund Policy; and
- reporting to law enforcement or other authorities where the law requires or permits it.
We aim to be proportionate and, where practicable and lawful, to give notice and an opportunity to correct a curable breach. Serious violations — those that risk harm to a person, security, or legal exposure — may result in immediate termination.
Accounts terminated for repeated infringement of intellectual-property rights are handled under the repeat-infringer policy in our Copyright and DMCA Policy.
10. Changes
We may update this policy as the platform and its risks evolve. The "Last updated" date above reflects the current version, and continued use after an update constitutes acceptance.
